TalentOps Lab Oy (“we”, “us”, “our”) operates this website. We are committed to protecting your privacy in accordance with the EU General Data Protection Regulation (GDPR).

 

1. Data Controller

TalentOps Lab Oy is the data controller for all personal data collected through this website or otherwise.


2. What Data We Collect

We may collect the following categories of data:
 

a. Data provided by you or clients

  • Name

  • Email address

  • Company name

  • Any information submitted through contact form

  • Any additional information received in connection with an assignment e.g. directly via a client’s system   


b. Automatically collected data

  • IP address

  • Browser type and version

  • Device information

  • Usage data collected through cookies (details below)
     

3. Cookies

Our website is hosted on Wix, which uses cookies necessary for site functionality and analytics. Cookies may include:
 

Essential cookies
Required for the website to function (site security, session management, load balancing).


Analytics cookies
Used to understand how visitors use the site (traffic volumes, page interaction). These may be provided via Wix’s analytics tools.


Functional cookies
Used to remember preferences such as language or region.


Marketing cookies
Used by Wix or integrated tools for measuring campaign effectiveness. We do not run advertising campaigns at present, but Wix may set cookies related to its platform-level services.

You can manage cookie preferences through your browser or via any cookie banner implemented on the site.


4. How We Use Data You Provide

We use personal data for:

  • Responding to enquiries

  • Providing requested information

  • Operating and improving the website

  • Internal business administration

  • Maintaining CRM records
     

We do not sell or share your data with third parties for marketing. For webinars or events, external co-hosts may access your sign-up information.  


5. Lawful Basis for Processing

This policy is governed by the EU General Data Protection Regulation (GDPR) and the Finnish Data Protection Act (Tietosuojalaki 1050/2018).
 

We process data only where lawful under said acts, including:

  • Legitimate interests (responding to enquiries, improving the site)

  • Performance of a contract or steps prior to entering one

  • Compliance with legal obligations

  • Consent (for cookies where required)
     

6. Data Sharing and Processors

We use third-party systems solely for operational purposes:

  • Wix (website hosting) 

  • Google Workspace (email, docs and sheets)

  • Notion (CRM and notes)

  • n8n (workflow automation, optional)


These platforms act as processors on our behalf. Appropriate data processing agreements are in place.


7. Transfers


In general, we do not transfer your personal data to third parties.


We may, however, transfer your personal data to personal data processors, such as cloud service operators, that have a legal obligation to follow our instructions on the safety, storage, removal and other processing of your personal data. 


We may also transfer your personal data to the authorities, if such transfer is requested and provided for by the law. 


We store personal data on servers located in the EU. However, some of our service providers (“processors”) may store or process personal data outside the EU. 


Prior to making any transfer of your personal data we undertake necessary and reasonable legal (such as EU Standard contractual clauses SCCs), technical and organizational measures to ensure that your personal data is processed safely and appropriately without jeopardizing your rights.


8. Data Retention

We retain personal data only for as long as necessary for the purposes described above.
We conduct an annual review every 12 months and delete or anonymise data no longer required.

When we keep your personal data for other purposes than fulfilling our contractual obligations toward you, such as for accounting purposes, we keep your personal data only for as long as it is necessary to fulfil our legal obligations.


9. Your Rights

Under GDPR, you have the right to:

  • Access your personal data

  • Correct inaccurate data

  • Request deletion in certain circumstances

  • Restrict or object to processing

  • Data portability (your right to ask for a copy of your personal data from us in order to transfer it to a third party)

  • Withdraw consent where processing is based on consent

  • Lodge a complaint with the Finnish Data Protection Authority at https://tietosuoja.fi/en/home


10. Security

We take reasonable organisational and technical measures to protect personal data.


All devices and servers that are used for processing personal data are protected with passwords, firewalls and virus protection software.


If any personal data is in non-digital form, such data is processed and stored in a controlled environment to which third parties have restricted or no access.


In the event of a personal data breach, we will notify the Finnish Data Protection Ombudsman of the breach within 72 hours data security violation was detected, as required by law.
